Best Practices for Structuring Insurance Plans in Your Practice Management System

To streamline your office workflow and ensure a seamless sync with Zuub, we recommend the following best practices for creating insurance plans in your practice management system (PMS). This standardized approach minimizes manual backend mapping and accelerates the patient verification process.

Objective: This method helps distinguish between similar plans (e.g., high vs. low maximums) by using specific, consistent identifiers. This allows our system to automatically group plans correctly and reduces the need for manual intervention.

Recommended Plan Setup Structure

When creating a new plan, please use the following fields as outlined below. This structure is key to ensuring accurate automated mapping.

Field Description Example
Group Number Enter the plan's actual Group Number. 71605132
Payer ID Enter the standard Payer ID for the insurance company. 7000
Insurance Company Name Use the format: [PayerName][Year]. This groups all similar plans together. DeltaPPO2025
Group/Employer Name This is your key identifier. Use the format: [YourIdentifier] [Max/Deductible] - [Preventive/Basic/Major/Ortho]. Zuub 2500/50 - 100/90/60/50

Example Configurations:

Group Number Payer Id Insurance Co. Name Group/Employer Name
71605132 7000 DeltaPPO2025 Zuub 2500/50 - 100/90/60/50
71605132 7000 DeltaPPO2025 Zuub 1500/50 - 100/80/50/50
9999-1000 CDAR1 DeltaARPPO2025 Zuub 1000/75 - 100/80/50/0

Why This Structure is Effective

  • Streamlined Backend Mapping: When you create multiple plans with the same Insurance Company Name and Payer ID, our system intelligently groups them. This allows our Customer Success Team to map an entire set of plans at once if needed, significantly reducing manual setup time.

  • Faster Automated Verification: Using the standard Payer IDs that Zuub recognizes increases the likelihood of plans mapping automatically. This directly streamlines and accelerates the insurance verification process for your patients.
